Preparing Your Complaint<\/h5><p>Please prepare the following information prior to submission:<\/p><ul><li><span style=\"color: #7a7a7a;\"><strong>Description of the issue:<\/strong> <\/span>Provide a detailed account of the situation giving rise to your complaint. Include all relevant facts, such as the date and location of the incident, the names of the persons involved (where known), and any other material details.<\/li><li><span style=\"color: #7a7a7a;\"><strong>Evidence:<\/strong> <\/span>Compile all evidence supporting your complaint, such as documents, e-mail correspondence, photographs or witness statements.<\/li><li><span style=\"color: #7a7a7a;\"><strong>NOTE:<\/strong><\/span> For legal entities, it is also necessary to provide <span style=\"color: #7a7a7a;\"><a style=\"color: #7a7a7a;\" href=\"https:\/\/tragfondacija.org\/wp-content\/uploads\/2026\/03\/DECLARATION-OF-LEGAL-REPRESENTATIVE.docx\" target=\"_blank\" rel=\"noopener\"><strong>DECLARATION OF LEGAL REPRESENTATIVE<\/strong><\/a><\/span><\/li><\/ul><h5>2. Methods of Submission<\/h5><p>A complaint may be submitted by the following means:<\/p><ul><li><span style=\"color: #7a7a7a;\"><strong>Electronic form:<\/strong><\/span> Visit the Trag Foundation website and use the online complaints form, or send an e-mail to: <strong>zalbe@tragfondacija.org<\/strong><\/li><\/ul><h4>3. Required Information<\/h4><p>Your complaint must include the following information:<\/p><ul><li><span style=\"color: #7a7a7a;\"><strong>Who:<\/strong><\/span> Provide the names of the persons involved, where known.<\/li><li><span style=\"color: #7a7a7a;\"><strong>What:<\/strong><\/span> Describe the situation or issue.<\/li><li><span style=\"color: #7a7a7a;\"><strong>Where and when:<\/strong><\/span> Include the date and location of the relevant events.<\/li><li><span style=\"color: #7a7a7a;\"><strong>Evidence:<\/strong> <\/span>Provide all relevant evidence supporting your complaint.<\/li><li><span style=\"color: #7a7a7a;\"><strong>Required documents:<\/strong> <\/span>Submit all documents required for the administrative acceptance of your complaint as specified during the process. Trag Foundation reserves the right to request additional documentation during the course of the process for the purposes of conducting its analysis; in such cases, the deadline for analysis, as well as the overall timeframe for the complaints process, shall be extended by the number of days taken to provide the requested documentation.<\/li><\/ul><h5><span style=\"color: #000000;\">Acknowledgement of Receipt and Process<\/span><\/h5><p>Upon submission of your complaint, the following steps shall apply:<\/p><ul><li><span style=\"color: #7a7a7a;\"><strong>Acknowledgement of receipt:<\/strong><\/span> Following submission, you will receive confirmation of receipt within 5 working days.<\/li><li><span style=\"color: #7a7a7a;\"><strong>Complaints Officer:<\/strong> <\/span>The responsible person within Trag Foundation shall assume conduct of the complaints process and notify you accordingly.<\/li><li><span style=\"color: #7a7a7a;\"><strong>Analysis of the complaint<\/strong><\/span><\/li><li><span style=\"color: #7a7a7a;\"><strong>Request for additional documentation, where necessary<\/strong><\/span><\/li><li><span style=\"color: #7a7a7a;\"><strong>Decision by the Complaints Panel<\/strong><\/span><\/li><li><span style=\"color: #7a7a7a;\"><strong>Notification of outcome:<\/strong> <\/span>The complainant shall be notified of a positive or negative decision in writing.<\/li><\/ul><h5>Key Principles<\/h5><ul><li>Fairness and impartiality are the governing principles of the complaints resolution procedure.<\/li><li>All information shall remain confidential, irrespective of the outcome.<\/li><li>The complainant has the right to request a review of the decision and may utilise various escalation channels.<\/li><\/ul><h5><span style=\"color: #000000;\">Standard Timeframes<\/span><\/h5><ul><li><span style=\"color: #7a7a7a;\"><strong>Acknowledgement of receipt:<\/strong><\/span> Within 5 calendar days.<\/li><li><span style=\"color: #7a7a7a;\"><strong>Initial assessment:<\/strong> <\/span>Ordinarily within 10 calendar days.<\/li><li><span style=\"color: #7a7a7a;\"><strong>Investigation and deliberation:<\/strong> <\/span>May take up to 30 calendar days.<\/li><li><span style=\"color: #7a7a7a;\"><strong>Final decision:<\/strong> <\/span>Ordinarily within 30 to 60 calendar days of submission.<\/li><\/ul>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t<div class=\"elementor-element elementor-element-6ef860a e-flex e-con-boxed e-con e-parent\" data-id=\"6ef860a\" data-element_type=\"container\" data-e-type=\"container\">\n\t\t\t\t\t<div class=\"e-con-inner\">\n\t\t\t\t<div class=\"elementor-element elementor-element-07ee461 elementor-widget elementor-widget-spacer\" data-id=\"07ee461\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"spacer.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t<div class=\"elementor-spacer\">\n\t\t\t<div class=\"elementor-spacer-inner\"><\/div>\n\t\t<\/div>\n\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t","protected":false},"excerpt":{"rendered":"<p>COMPLAINTS POLICY Trag Foundation is committed to transparent, fair and accountable conduct across all aspects of its operations.
